Please note - BPIHT will not directly hire furniture to trade stands. Exhibitors should organise their own stand furniture, graphics, wi-fi etc through our preferred partners (refer to key contacts list above).

Temporary shedding marquees will be dismantled at 9AM ON MONDAY 23rd SEPTEMBER– Exhibitor items must be removed by this time. 

A shedding stand has a white tented marquee mounted on a metal frame. You will see these sited throughout the showground, they can be dress as required. Sizes vary depending on which structure you have booked. A standard shell start at 3m (frontage) x 6m (depth), with a further 9m depth space available to park vehicles or camp as required. Please check your contract for size of structure booked. 

The average height inside the shedding structure is 2.3metres but this could vary if you chose to have carpet or flooring. If you require a technical drawing, please contact – catherine.bishop@thegamefair.org

Banner Rail - You will automatically receive a banner rail, which is the width of your stand and 600mm high. Exhibitors are expected to supply their own banner. We recommend choosing a banner with eyelet holes and using cable ties to attach the banner to your Stand frame.

If you are installing your own banner, please bring a ladder or suitable apparatus, to ensure the task is carried out safely.  Be aware of the dangers of working from height. 

YOU NEED TO ARRANGE YOUR OWN SIGNAGE, STABLE EVENTS WILL NOT SUPPLY YOUR SIGNAGE.

Carpet and Wooden Flooring - If you have purchased carpet for your shedding unit, the standard colour is grey.

Flooring - Flooring is offered as an upgrade. If you have purchased wooden flooring, you will NOT receive carpet automatically. If you haven’t purchased any type of flooring, your stand will be set on bare ground. Grass is cut short to 2-3inches - subject to weather.

Deadline for upgrading flooring is Thursday 1st August 2024.

Please note - due to the natural nature of wooden flooring, the colour and quality can vary. We recommend that you bring some rugs or your own floor covering to dress your stand. Please be aware of potential trip hazards.

Camping - Camping is allowed within Exhibitors contracted space. All vehicles must be parked within the stand boundary. If vehicles do not fit, you will be asked to move to Exhibitors camping or parking. This policy is to ensure all tracks and alleys are kept clear, in case of an emergency. The Fire, Ambulance and Police service must have full access around the site. 

Front Sheet - It is the exhibitor’s responsibility to take the sheet off the front of their Stand each morning and put it back in place at the end of the day.

Unless you have requested in writing that you wish for your shedding stand to be pushed back, it will be positioned along the standard build line. If you would like your Stand to be pushed back, please get in touch with exhibitors@stableevents.org

Open Space is a pitch on grass, these are located throughout the showground, giving the flexibility to fill the space as required. Sizes start at 3m (frontage) x (depth) - which will vary on size depending on what stand is booked. When booking Open space, you should consider how much space is needed for vehicles or camping on your stand. 

A shedding unit is NOT provided with Open Space, you are responsible for supplying and erecting your structure at your own expense. The stand design is your responsibility and must be such that it can be erected and dismantled within the time period available.  When you arrive at the showground, the area of your stand will be marked out on the ground. It is your responsibility to ensure that the stand is built within the floor markings. If you are unsure of these please contact a floor manager before commencing build.

Open space exhibitors may start construction of their stand from Monday 16th September. 

Open space structures such as gazebos must be able to withstand up to 40mph wind and must be of a good standard, and in a clean and tidy condition. 

When designing the stand, Open space Exhibitors must consider whether visitors can see their ‘back of house’ from the front of their stand.

Open Space Exhibitors are responsible for cutting the grass with-in their footprint, if needed.

Please note if you are an Open Space Exhibitor, we may write to you and request a layout drawing of your stand – this information must be provided to the organisers.

If you have an Open Space stand you must complete the Open Space Layout Template and submit to exhibitors@stableevents.org  The template can be found on the E-Zone.

Nothing should go into the ground without prior permission from Catherine Bishop, Head of Operations.

Our extremely popular Food Walk area is a fantastic attraction at the Show, giving an excellent opportunity to introduce your delicious produce to a wide audience. Traders in the Food Walk area must sell food and/or drink exclusively, which can be for off-site or on-site consumption. Food Exhibitors must comply with current food and hygiene regulations. Frontages start at 3m x 3m, please check with your account manager how much back of house area you have available and whether there is  space to camp. 

Exhibitors selling and sampling food - Please be aware that the local Council’s Environmental Health Officers will be carrying out checks during the show.

Electric – As part of the Food Walk area package your stand will include one plug socket. If you require an additional electric socket or lighting, this needs to be purchased directly through our official electrical supplier.

Please note we have IBC units located at the back of Food Walk to remove any food waste.

Q. I have ordered a trade stand for an event, what is included as standard? 

A. Standard trade stand includes the structural framework, white PVC walls (including a front wall which can be opened and tied back during the event), roof and banner rail.

Q. What size is the banner rail? 

A. The banner rail will be installed at the front of your trade stand, running the full front length of the structure. For example, if you have ordered a 6m x 6m trade stand the banner rail will be 6m in length. All banner rails are 60cm in height and the framework dimensions are 60mm x 60mm box section.

Q. I want to display a banner on the banner rail, what is the best way of attaching the banner and will you install the banner for me? 

A. Firstly, we advise that you check with the event organiser if you are permitted to provide your own banner. We recommend heavy duty cable ties for attaching your banner. We do not offer a display installation service.

Q. I have an external company installing internal fixtures within the trade stand, can you confirm exact measurements of the floor space and width of the stand legs? 

A. The framework dimensions (including legs) is 80mm width x 120mm depth. The width between two legs of a 3m x 3m trade stand is 2920mm, the width between two legs of a 6m x 6m trade stand is 5920mm.

Q. What is the height of the eaves? 

A. From ground level the height of the eaves is 2.4m.

Q. What is the height of the apex/centre ridge? 

A. 3.5m from ground level

Q. I have ordered a wooden floor for my trade stand; what is the finished floor height? 

A. The finished floor height will be determined by the undulation of your trade stand plot. The greater the undulation the greater the floor height required to provide a levelled floor finish. For guidance the average finished floor height is approximately 12cm-14cm but please note this is a guide only. 

Q. I would like an internal partition in my trade stand. Is this possible? 

A. We can provide an internal partition/dividing wall, this will be the same white PVC material as the walls and roof. We can install this at any required level depth. Please note there is an additional charge for this.

Q. I have ordered a flag pole, what does it come with and will you fit the flag? 

A. The flag pole comes with a fixed rotating arm and weight. If you are looking to order a flag we recommended a 100cm width x 200cm depth with a sleeve top, We do not offer a flag installation service. 

Q. There is a diagonal bar positioned at the back of my trade stand can I remove it? 

A. No, this must not removed. It forms an integral part of the structure and is a required safety feature.

Q. I have noticed you have team members onsite; can they assist in moving items into my stand? 

A. Unfortunately our team are not employed to provide assistance in moving items in/out of trade stands.

Q. I have my own trade stand, can you provide me with flooring and additional accessories? 

A. We only provide flooring and accessories for our own trade stands.

Q. Can I apply sticking tape to the trade stand? 

A. We have no objection to general sticking tape being applied to the trade stand however when vacating, it must be left free of stickers and left in the same condition as upon arrival.
