Exhibitor Passes

Exhibitor wristbands must be worn during build-up and on live show days. An Exhibitor leaving site and intending to return must be wearing a valid wristband. If they cannot show a valid wristband on re-entry, they will need to purchase an entry ticket. Vehicle passes must be clearly displayed from Monday 16th September. Every member of staff who is entering or working within the event at any time, requires a wristband to get past the security gate.

Exhibitor packs can be ordered to an address of your choice – to order your Exhibitor pack by post please complete page 2 of the logistics JotForm. If you are collecting your Exhibitor pack and passes on-site, these can be collected from the orgainsers office when you arrive at the Blenheim Palace International Horse Trials. Exhibitor Entry Pass Entitlement

Exhibitors are entitled to an allocation of entry passes at no additional charge. The number of entry passes is calculated on the size of the frontage of your stand.

Ordering Additional Wristbands

Exhibitors must have a valid entry pass for each day of the show and must be wearing their wristband correctly. 

Exhibitors can order their pass pack by post by clicking on the link to the Exhibitor Logistics Scheduling form and completing the last part of the form. 

DEADLINE FOR ORDERING YOUR EXHIBITOR PACK BY POST IS FRIDAY 6TH SEPTEMBER. There will be a reduced number of packs posted between 27th August - 3rd September 2024.

Allocation of Exhibitor vehicle passes are calculated according to stand size, and will be included in your exhibitor pack, which will be ready for collection on arrival at the show-ground.

It is not possible to request additional exhibitor vehicle passes.

As per contract T&C’s, only vehicles displaying a vehicle pass are permitted to enter the show-ground and permitted to park with-in a back of house/stand area. All vehicle on the show-ground must display a BPIHT Vehicle Pass and must include mobile number of driver, stand details and reg number. A car hanger permits the exhibitor to parked at the rear of their stand, on the condition that space is available. Only permitted vehicles displaying a car hanger should park at the rear of the stand. All vehicles must fit within the marked area of the pitch.

Parking contraventions 

Any vehicles found parked outside of the allocated stand space, vehicles parked blocking access to aisles, or not displaying an issued car pass will be photographed, and the vehicle may not be able to leave site until a penalty fee is paid to Stable Events Ltd.

Exhibitors who do not have sufficient parking space behind their Stand can use the free Exhibitor car park located near the Exhibitor entrance. 

• Vehicle Passes do not confer right of entry to the vehicle’s occupants. All vehicle occupants must have a valid Entrance wristband/ticket.
• Vehicles without the appropriate pass will not be permitted entry to site during the period of the event. The Exhibitor is wholly responsible for providing their members of staff, contractors, and private catering staff, where applicable, with the necessary vehicle passes. 

YOU CANNOT PURCHASE ADDITIONAL VEHICLE PASSES

 

From Monday 16th September vehicles arriving on site must display the correct vehicle pass. This will either be an Exhibitor vehicle pass (valid for the build-up period and the show days) or a build-up pass issued to a build-up vehicle (No access during live show).

Please note that neither an exhibitor vehicle pass nor a build-up pass will permit passengers access to the live show. Passengers who intend to remain on site during live event hours must be wearing a valid wristband.

Due to high traffic volume on build-up days, this year we are asking Exhibitors to complete the Exhibitor Logistics Scheduling form by clicking on the link below. By completing the form, it shares information when to expect you, and gives us the opportunity to stagger Exhibitors arrival times. The form must be completed by all Exhibitors.
